We are seeking a reliable, detail-oriented Administrative Assistant to join our team. This is a fast-paced, customer-focused role where professionalism, efficiency, and strong communication skills are essential. Key Responsibilities:
Answer incoming phone calls and respond to client inquiries promptly and professionally
Schedule, confirm, and manage client appointments
Send text and email reminders to clients
Check and return voicemails in a timely manner
Manage incoming and outgoing emails efficiently
Greet and assist walk-in clients with excellent customer service
Perform data entry with a high level of accuracy
File, scan, and organize documents (physical and digital)
Assist with bank reconciliations, payroll processing, and report preparation
Maintain accurate records and ensure confidentiality of client information
Support staff with general administrative and clerical duties
Help maintain a clean, organized, and welcoming office environment
Qualifications:
Bilingual (English/Spanish) required
Strong attention to detail and organizational skills
Excellent verbal and written communication
Professional phone etiquette
Ability to multitask and work efficiently in a fast-paced environment
Proficiency in QuickBooks, Microsoft Excel, and Microsoft Word
Basic knowledge of office equipment (printers, scanners, etc.)
Strong problem-solving skills and a proactive attitude
Dependable, punctual, and responsible
Ability to handle sensitive information with discretion
Previous administrative or office experience preferred
