OPERATIONS COORDINATOR (HYBRID)

Haven Spa VTA is seeking a highly organized, proactive Operations Coordinator to help support day-to-day operations, client communication, scheduling, retention, and administrative systems.
This is not a traditional receptionist role. We are looking for someone who takes initiative, solves problems, follows through, and helps keep operations running smoothly with minimal supervision.
RESPONSIBILITIES:
* Client communication via phone, text, email, and social media
* Appointment scheduling and confirmation
* Client retention outreach and follow-up
* Membership tracking and qualification review
* Filling cancellations and managing waitlists
* Therapist coordination and schedule support
* Bi-weekly payroll preparation and reporting
* Social media and content support
* Event coordination and promotional support
* Friday laundry pickup and Saturday laundry organization
* Administrative reporting and operational oversight
IDEAL CANDIDATE:
* Highly organized and detail-oriented
* Excellent written and verbal communication skills
* Strong customer service background
* Comfortable working independently
* Professional, reliable, and accountable
* Able to prioritize tasks and problem-solve
* Experience with scheduling, hospitality, wellness, spa, salon, or service industries preferred
* Social media and administrative experience a plus
POSITION DETAILS:
* Hybrid position (remote and in-spa responsibilities)
* Approximately 15–25 hours per week
* Flexible scheduling with required responsiveness during designated work hours
* Starting pay: $20/hour DOE
